RCGP Online Learning Websites

Privacy and Security Policy - version 3.2 (June 2011)

  1. General

    The following privacy policy applies to your RCGP Online Learning Environment and e-Learning for Healthcare (e-LfH) e-learning accounts and to the RCGP Online Learning Environment and e-GP websites and associated resources and materials (including but not limited to e-GP, Essential Knowledge Updates, Essential Knowledge Challenges and all RCGP-badged online educational programmes and courses), known collectively as the ‘RCGP online learning websites’, and other websites and online resources provided by RCGP or e-LfH. .

    The RCGP is committed to ensuring that your privacy is protected and that it complies with its obligations under the Data Protection Act 1998, which regulates the processing of information relating to you and grants you various rights in relation to your personal data.

    By registering for an RCGP online learning environment or e-LfH e-learning account, or by accessing the RCGP online learning websites, you are agreeing to the following policy from the date of first registration or usage. We may change these terms and conditions from time to time and will post revisions on our websites. We advise that you review these terms and conditions regularly.

  2. Registration data

    When you first register for your RCGP e-learning account, or when you access a RCGP online learning website such as e-GP or the RCGP online learning environment, we will collect personal information from you. We may also ask you for information when you report a problem to our helpdesk and may keep a record of any correspondence.

  3. Aggregated data

    We may anonymise your data and aggregate it with data from other users to understand how people are using our websites and to evaluate our e-learning materials. The RCGP reserve the right to disclose anonymised aggregated user data to approved third parties.

  4. User-generated data

    Should you contribute user-generated content to e-GP or the RCGP online learning environment, including any contribution to a forum or chat, or supply session feedback, some of your personal data (such as your name and email address) may be displayed on the website. When submitting user-generated content (such as a forum posting or chat), you acknowledge and agree that the RCGP and e-LfH may access, preserve, and disclose your account information and any content posted by you in order to: (a) comply with any legal process; (b) enforce the terms and conditions of use; (c) respond to claims that any content posted violates the rights of third parties; (d) respond to your requests for customer service; (e) contact you to undertake further evaluation) or (f) protect the rights, property, or personal safety of the RCGP or e-LfH, other users of the website and the public.

  5. Communications and bulletins

    From time to time the RCGP may email you with information about other College-associated educational resources that may be of interest to you. If you should decide that you do not wish to receive such communications you may opt out of receipt of similar future emails by contacting us at e-learning@rcgp.org.uk

  6. Making changes to your information

    Where your details become outdated you should update your details in the secure area of the RCGP website.

  7. IP addresses

    We may record your computer's IP address, operating system and browser type, for system administration purposes and to enable us to gather information on website usage. These data enable us to track browsing patterns, and are not used to identify you as an individual.

  8. Security

    Your personal information is stored and processed by the RCGP in compliance with the Data Protection Act (1998). Your data is held securely on our databases which are only available to authorised RCGP personnel on a password protected basis and is not available to any other individual or party. Your information is protected by a firewall. We also use system and application logs to track all access. We review these logs periodically and investigate any anomalies or discrepancies.

    Although all reasonable efforts will be taken to ensure security of personal data, it is not possible for the RCGP to guarantee 100% data security.

  9. Authentication

    You are responsible for ensuring that your RCGP e-learning account password remains secure. You should not disclose your user name and password to other people. If you forget your password, please contact us at Helpdesk@rcgp.org.uk

  10. Email security

    Any email correspondence between you and the RCGP will not be encrypted. Emails received by the RCGP will be stored securely within our corporate firewall. Email correspondence between yourself and e-LfH is subject to e-LfH's own privacy and security policies.

  11. Use of cookies

    The RCGP website uses cookies only if you select the 'remember me' option when logging in to the member's area, or ordering from the online bookstore. The sole purpose of this is convenience, making it unnecessary to retype your username and password every time you logon. You may refuse to accept cookies by selecting this setting on your browser, although this may prevent you from being able to use certain websites that require cookies.

  12. Linking to external sites

    When using RCGP websites and materials, you will encounter links to external websites. Please be aware that once you click to one of these sites, you are subject to that site's privacy policy and the RCGP can accept no responsibility for your privacy in relation to your use of external websites.

  13. e-GP

    e-GP The following conditions apply to users who are registered for access to the e-GP website(www.e-GP.org). By default this includes:

    In order to provide you with access to the e-GP website, some of your personal information will be transferred securely to our Department of Health partner e-Learning for Healthcare (e-LfH) for the purposes of creating and maintaining your e-GP account, and to enable data reporting functions including transfer of encrypted data to the RCGP ePortfolio. The personal data we transfer to e-LfH is held securely according to e-LfH security and privacy policies (www.e-LfH.org.uk) and is regulated by a Data Protection Act Third Party Processor agreement. The RCGP will remain the Data Controller of the data, which includes the following personal information:

    e-LfH and RCGP will not disclose your personal information to third parties without your prior consent.

    When you use the e-GP website, a personal learning record of the e-learning sessions you attempt and complete is stored in the e-GP Learning Management System (LMS) managed by e-LfH. This record is treated as private to you and will not be disclosed to a third party without your consent. Your personal learning record data may be transferred to your RCGP ePortfolio by an automated secure data transfer process (should this service become available) although the data will not be used as evidence for nMRCGP WPBA assessment, appraisal, or revalidation purposes unless you choose to make the data available for this purpose.

    When using e-GP, you are able to submit feedback and ratings for each e-learning session. Your feedback and certain personal information may be visible to other users of the site, including guest users. This information is stored in the e-GP Learning Management System (LMS), and is subject to the privacy and security policies of e-LfH who will share your feedback with the RCGP. The RCGP will use your feedback to improve the quality of the content and to aid future development of the resource.

  14. Your consent

    By submitting your information to the RCGP, you consent to the use of that information as set out in this policy. You should review this policy regularly, to note any changes as to how we collect and use personal information.
